Personal Data Processing Information Notice (DGRT 2026)
This information notice has been prepared in accordance with the Turkish Law No. 6698 on the Protection of Personal Data ("KVKK") regarding the personal data processed during the application, evaluation, registration, and organization processes of the International Congress on Differential Geometry and Related Topics (DGRT 2026). Under KVKK, the scope of the information obligation includes informing data subjects about the identity of the data controller, the purposes of processing, the recipients/recipient groups to whom data may be transferred, the method and legal grounds for collection, and the rights of the data subject.

2) Categories of Personal Data Processed (examples)
Depending on the congress processes, the following categories of personal data may be processed:
Identity/contact: name and surname, e-mail address, phone number, country/city
Institutional/academic: institution/university, department, title, ORCID (if any)
Submission/paper data: paper title, abstract text, keywords, author information, Paper ID, participation mode (on-site/online), whether the presenter is a student, number of accompanying persons
Registration/fee processes: payment receipt and payment-related information (e.g., name and surname, date, amount shown on the receipt)
Student status verification: student certificate (for verifying student status/discount eligibility)
3) Purposes of Processing
Your personal data may be processed for the following purposes:
Managing the submission/abstract processes, operating the peer-review process, and carrying out scientific committee procedures
Managing registration and participation processes, preparing the program, session planning, and communication with participants
Managing fee/payment processes, keeping accounting/financial records, and fulfilling obligations to public authorities when legally required
Sharing access information for online participation and making organizational announcements
Preparing and publishing the Abstract Book / Proceedings Book (publishing content such as author name and surname, institution, title, and abstract)
Managing requests/complaints and conducting information security/audit activities
4) Collection Method and Legal Grounds
Personal data may be collected via the CMT system, congress website forms, e-mail, and/or physically during the event.
Under KVKK, personal data may be processed depending on the specific process, based on legal grounds such as necessity for the conclusion or performance of a contract, the data controller’s legal obligations, and legitimate interests.
For non-mandatory activities (such as promotional communications or sharing photos/videos), explicit consent may be required; such cases will be managed through a separate consent text where applicable.
5) Transfer of Personal Data and Recipient Groups
Your personal data may be shared, limited to the purposes stated above, with the following recipient groups:
Scientific/Organizing committees and, where necessary, reviewers
IT and hosting service providers; e-mail/communication service providers
Conference management system service providers (e.g., Microsoft CMT)
Online meeting platform service providers (depending on the platform used)
Publication/e-book preparation service providers
Authorized public institutions and organizations
6) International Transfers
Due to services such as conference management systems and online platforms, international transfer of personal data may occur. In such cases, transfers may be carried out in accordance with KVKK provisions on international data transfers and relevant secondary legislation (e.g., adequacy decision, appropriate safeguards/standard contracts, or exceptional circumstances, as applicable).
7) Retention Periods
Personal data is retained for the duration necessary to complete the congress application-review-registration processes, to manage publication processes, and for limitation/retention periods stipulated in applicable legislation. At the end of the retention period, personal data is deleted, destroyed, or anonymized.
8) Your Rights Under KVKK and How to Apply
To exercise your rights under Article 11 of KVKK, you may submit your request together with information that verifies your identity by sending an e-mail to [email protected] or by making a written application to the address above. Applications will be concluded within the time limits set out under KVKK and applicable legislation.
